Alloy Wheel Repair Quote Request Form: Fields, Flow and Follow-Up

Build a wheel repair quote request that collects useful vehicle, wheel, damage and location details without turning the form into a workshop estimating system.

Overview

A quote form should make the next conversation shorter, not make the customer complete a mechanical inspection report.

The goal is to collect enough information to decide whether the job looks suitable, what needs clarification and whether the customer should receive a quote, assessment or booking invitation.

Start with the minimum useful customer details

Ask for:

Do not collect sensitive information that is not necessary for initial qualification.

  • name;
  • phone;
  • email;
  • preferred contact method when your real workflow supports it.

Ask for vehicle information that changes the job

Useful fields can include:

Do not turn the form into VIN decoding or parts identification unless the business has a separate verified system for that purpose.

  • vehicle make;
  • vehicle model;
  • vehicle year when it genuinely affects identification;
  • wheel size if the customer knows it;
  • number of wheels requiring attention.

Let the customer choose the broad service

A simple service selector can reduce vague requests.

Possible options include:

Only include services the business actually offers.

  • cosmetic alloy repair;
  • refurbishment;
  • colour change or respray;
  • mobile repair;
  • workshop repair;
  • collection/drop-off enquiry;
  • not sure.

Ask for a short damage description

Use a plain-language prompt such as:

Tell us what happened and what you would like repaired.

Customers may describe curb rash, scratches, peeling finish, discolouration, a suspected bend or another problem. The form should not diagnose the wheel or promise repairability.

If structural damage is outside the business's scope, say so clearly.

Collect location for mobile work

For a mobile operator, postcode or service area can determine whether the enquiry is viable.

Useful location questions include:

Do not request a precise private address earlier than necessary if a postcode is enough for initial qualification.

  • postcode;
  • city or district;
  • whether the vehicle is at home, work or another accessible location;
  • any relevant access limitation.

Handle photos carefully

Current alloy-wheel-repair competitors frequently ask for photos because visible damage helps them qualify the request. Typical guidance asks for a close-up and a full-wheel view.

That does not automatically mean every website platform has native file upload in its standard enquiry form.

For a OneStudio project, public product documentation verifies contact forms/enquiries but does not currently verify native photo upload. If the configured project supports image upload, document that capability before claiming it. If not, collect the text enquiry first and ask for photos through an approved follow-up channel.

Ask one timing question, not five

Useful timing choices can be:

If the business offers direct appointment booking, the customer can choose a real slot later. The quote form does not need to imitate a calendar.

  • as soon as possible;
  • this week;
  • within two weeks;
  • flexible.

Add a clear consent statement

Explain what happens after submission in plain language.

For example:

We will use these details to review your request and contact you about the job.

Add any required privacy wording based on the business's jurisdiction and actual communication practices. Do not copy another company's legal text.

Do not ask for information that does not help the first decision

Avoid unnecessary fields such as:

The quote request should feel like the beginning of a useful conversation.

  • full insurance claim history;
  • payment card details;
  • driver's license information;
  • unnecessary vehicle documents;
  • long technical questionnaires customers cannot answer reliably.

Define the response workflow before publishing the form

A form only works when the business knows what happens next.

A simple internal process is:

OneStudio publicly documents client records, interaction history and related bookings. See OneStudio features.

  1. Review new enquiry.
  2. Confirm whether the service and area fit.
  3. Ask for missing information or images if needed.
  4. Decide whether the next step is a quote, assessment or booking.
  5. Record the customer and relevant activity.
  6. Follow up if the customer has not responded within the business's normal process.

Quote form vs booking form

Use a quote form when the job cannot be standardized safely or commercially before review.

Use booking when:

Some businesses can offer both paths, but they should not be visually equal if most work needs qualification first.

  • the service is defined;
  • the duration is known;
  • pricing or deposit rules are clear;
  • the business exposes real availability;
  • the appointment can be honored without another approval step.

Example field set

A lean quote request could use:

Then move image collection or appointment selection into the next verified step.

  1. Name
  2. Phone
  3. Email
  4. Vehicle make/model
  5. Number of wheels
  6. Service type
  7. Damage description
  8. Postcode
  9. Preferred timing
  10. Consent checkbox or statement when legally required

CTA: Collect the details that change the decision

A good quote form reduces uncertainty for both sides. It asks for the information that changes the job, then hands the lead into a clear follow-up process.

Questions businesses ask

How many fields should an alloy wheel repair quote form have?

Enough to qualify the job without exhausting the customer. Ten focused fields are often more useful than twenty speculative ones.

Should the form ask for wheel photos?

Photos are common and useful in this market. Only advertise native upload if the project actually supports it. Otherwise request photos after the text enquiry through an approved channel.

Should a quote request create a confirmed booking?

No. A quote request should remain a request until the business has reviewed the job and confirmed the correct appointment.
