Google Review Response Templates for Service Businesses
Copy practical Google review response templates for 5-star, mixed and negative feedback, with examples for service businesses and privacy-safe reply tips.
Overview
A good review response is written for two people at once: the customer who left the review and the next customer who may read it before deciding whether to book.
That is why the best response is rarely a miniature sales pitch. It acknowledges what the reviewer actually said, keeps private details private, and shows how the business communicates when things go well and when they do not.
Use the templates below as starting points. Replace the brackets, remove anything that does not fit the situation, and make the final reply sound like your business rather than a copy-and-paste robot.
A simple framework for almost any review response
Use four parts:
For example:
Thank you, [First name]. We are glad you enjoyed [specific part of the experience]. It was a pleasure having you at [Business name], and we hope to see you again.
For a problem:
Thank you for letting us know, [First name]. We are sorry the experience did not meet expectations. We would like to understand what happened and address it properly. Please contact us at [private contact method] so we can look into the details.
The public reply should not reveal appointment notes, payment details, personal contact information, health information, private disputes, or anything else the customer did not choose to publish.
- Acknowledge the review. Thank the customer for taking the time to write.
- Respond to something specific. Mention the service, team member, atmosphere, result, or issue they actually described.
- Add the right next step. Invite them back, explain what you are doing, or move sensitive problem-solving into a private channel.
- Close simply. Sign off with the business or a real team member when appropriate.
5-star Google review response templates
Positive reviews are the easiest to answer badly because businesses often fall back on the same “Thanks for the five stars!” line every time. A short response is fine, but one specific detail makes it feel human.
1. Short and professional

2. Mention the service
Thank you, [First name]. We are so glad you enjoyed your [service]. Thank you for choosing [Business name], and we look forward to welcoming you back.
3. Mention a team member
Thank you for the lovely feedback, [First name]. We will make sure [Team member] sees your kind words. We are glad you enjoyed your visit.
Only name the team member if the reviewer already named them or the business is comfortable doing so publicly.

Thank you for continuing to choose [Business name], [First name]. It means a lot to have you back, and we appreciate you taking the time to share your experience.

Responses to 4-star reviews or positive reviews with one issue
A four-star review is often more useful than a perfect one because it tells you what worked and what could improve. Do not ignore the criticism and respond only to the praise.
11. Positive overall, small delay
Thank you, [First name]. We are glad you enjoyed [positive detail], and we also appreciate your note about the wait. We know your time matters and will keep that feedback in mind as we improve the experience.
12. Positive service, communication issue
Thank you for the balanced feedback, [First name]. We are happy you were pleased with [service/result], and we are sorry communication was not as clear as it should have been. We appreciate you pointing that out.
13. Positive result, booking friction
Thank you, [First name]. We are glad you were happy with the service. We also appreciate the feedback about booking and will use it as we review how we can make the process clearer.
14. Good experience, facility issue
Thank you for your review, [First name]. We are pleased you enjoyed [positive detail], and we appreciate you mentioning [general issue]. Feedback like this helps us see where the experience still needs attention.
15. Mixed feedback with an invitation back
Thank you, [First name]. We appreciate both the kind words and the constructive feedback. We are glad [positive detail] went well and will take your point about [issue] seriously. We hope to give you an even better experience next time.
Neutral Google review response templates
Neutral reviews often need the most restraint. Do not argue the rating upward. Acknowledge the customer’s experience and keep the door open.
16. Short neutral response
Thank you for the feedback, [First name]. We appreciate you taking the time to share your experience and will keep your comments in mind.
17. Neutral with a useful detail
Thank you, [First name]. We are glad [positive detail] worked well, and we appreciate your feedback about [issue]. We will review it with the team.
18. Neutral with private follow-up
Thank you for sharing this, [First name]. We would like to understand your experience more clearly. If you are open to it, please contact us at [email/phone] so we can discuss the details privately.
Negative Google review response templates
A negative review is public. The safest objective is not to “win” the argument. It is to show that the business can respond calmly, take legitimate concerns seriously, and move detailed resolution into a private channel.
19. General negative review
Thank you for the feedback, [First name]. We are sorry the experience did not meet expectations. We would like to understand what happened and see what we can do next. Please contact us at [private contact method].
20. Long wait or delay
We are sorry about the delay, [First name], and we understand why that was frustrating. Thank you for bringing it to our attention. Please contact us at [contact method] if you would like us to look into the specific visit.
21. Communication problem
Thank you for telling us, [First name]. We are sorry our communication was not clear enough. That is not the experience we want to create. We would appreciate the chance to review what happened with you privately at [contact method].
22. Customer says the service did not match expectations
We are sorry to hear that the result did not match what you expected, [First name]. We take that concern seriously. Please contact us at [contact method] so we can review the situation and the options available.
23. Pricing complaint
Thank you for your feedback, [First name]. We understand that price and what is included need to be clear before a service begins. We would like to review the details of your experience privately. Please contact us at [contact method].
Do not publish the customer’s invoice, deposit, refund amount, booking record, or private price negotiation in the response.
24. Staff interaction complaint
Thank you for bringing this to our attention, [First name]. We are sorry the interaction left you with this impression. We take concerns about how customers are treated seriously and would like to understand the details privately at [contact method].
25. Cancellation or rescheduling complaint
We are sorry the change caused frustration, [First name]. We understand how disruptive appointment changes can be. Please contact us at [contact method] so we can review the circumstances and any next steps privately.
26. One-star review with little detail
We are sorry to see that your experience was not a good one. We would like to understand what happened. Please contact [Business name] at [contact method] so we can look into it.
This is better than inventing a story when the reviewer gave you no detail.
How to respond when the review contains no text
Star-only reviews give you almost nothing to personalize, so keep the response proportionate.
27. Five stars, no text
Thank you for the rating, [First name]. We appreciate your support and are glad you chose [Business name].
28. Four stars, no text
Thank you for your rating, [First name]. We appreciate your visit and your feedback.
29. One to three stars, no text
Thank you for the feedback. We are sorry the experience did not meet expectations. If you would like to share more detail, please contact us at [contact method] so we can understand what happened.
What to do with a suspected fake, spam or wrong-business review
Do not accuse someone publicly unless you have strong reason and a calm way to say it. A mistaken review, a pseudonym, a family booking, or a purchase under another name can look “fake” from inside the business.
First:
- Check recent bookings, enquiries and orders.
- Ask staff whether they recognize the event.
- Check whether the review may refer to another location or business.
- If the review appears to violate Google policy, use Google’s reporting process.
- Keep any public reply factual and non-accusatory.
30. You cannot identify the interaction
Hello. We have checked our recent records and cannot identify the visit described from the information in this review. We would still like to understand what happened. Please contact us at [contact method] with the date and service so we can investigate.
31. Possible wrong location
Thank you for raising this. We are unable to match the experience described to our [location/business]. If you intended to review us, please contact [contact method] so we can investigate. It may also be worth checking that the review was posted to the intended business profile.
Do not disclose that a particular person is or is not a customer if doing so would reveal private information.
Responses when the business made a real mistake
Owning a mistake can be stronger than hiding behind vague corporate language.
32. Clear operational error
You are right to call this out, [First name]. We made an error with [brief non-sensitive issue], and we are sorry. We are reviewing the process so it does not happen the same way again. Please contact us at [contact method] so we can also address your individual situation.
33. Missed appointment or scheduling mistake
We are sorry, [First name]. We got the scheduling wrong, and we understand the inconvenience that caused. We are reviewing what happened. Please contact us at [contact method] so we can discuss the next step with you directly.
34. Incorrect information given
Thank you for pointing this out, [First name]. The information you received should have been clearer, and we are sorry for the confusion. We are correcting the issue internally and would be happy to discuss your situation at [contact method].
Responses after an issue has been resolved
If the business and customer already resolved the matter privately, you can close the public loop without revealing the private terms.
35. Resolved privately
Thank you for speaking with us, [First name]. We appreciate the opportunity to understand the situation and are glad we could work through it together.
36. Resolution still in progress
Thank you for connecting with us, [First name]. We are continuing to work through the issue with you directly and appreciate the opportunity to address it.
Do not pressure the customer to change or remove the review as a condition of resolving a legitimate complaint.
What not to put in a public review response
Avoid these common traps:
Do not disclose private customer information
A public review is not permission to publish the customer’s full booking history. Avoid:
- phone numbers and email addresses;
- payment details;
- appointment notes;
- private messages;
- health or treatment information;
- addresses;
- internal account records;
- names of other customers;
- sensitive personal details.
Do not argue line by line
A 700-word rebuttal can make a small problem look bigger. If detailed facts matter, invite the customer into an appropriate private channel.
Do not use the exact same response every time
Templates should reduce writing effort, not erase personality. Change the detail, sentence order, and closing so the response reflects the review.
Do not turn the reply into keyword stuffing
The customer did not leave a review so the business could wedge ten location keywords into the response. Write for people first.
Do not promise a refund, replacement or remedy publicly unless it has actually been approved
If the next step depends on investigation, say that.
Do not claim a reviewer is lying unless you have a very strong reason and appropriate advice
A measured response protects the business better than a public fight.
A response checklist before you click Reply
Ask:
If yes, publish the reply.
- Did I acknowledge what the reviewer actually said?
- Is the tone calm?
- Is the response short enough for the situation?
- Did I avoid private information?
- Did I avoid making promises I cannot keep?
- If the issue needs investigation, did I move it to a private channel?
- Would I be comfortable with a future customer reading this response?
- Does it sound like this business rather than a generic template?
How review responses fit into a simple reputation workflow
A useful review workflow has three separate stages:
Those are different tasks. A review-request message should not be buried inside a review-response guide, and a response should not turn into another request for a better rating.
For businesses that also collect testimonials, keep that workflow separate too. A Google review is public content on a third-party platform. A testimonial is permissioned marketing material the business may want to use on its own website.
- Ask: after a genuine customer interaction, invite customers to leave an honest Google review.
- Receive: monitor new reviews and identify anything that needs a timely response.
- Respond: thank customers, answer useful feedback, and handle problems without exposing private details.
How OneStudio fits into the workflow
OneStudio publicly supports website and content management, bookings, client records and history, notes and client statuses, notifications/reminders where enabled, payments where enabled, and operational analytics.
That can help a service business keep the customer journey organized around the appointment and client record.
OneStudio should not be described as automatically monitoring Google reviews, automatically generating review replies, or publishing responses to Google Business Profile unless those features are separately verified and released. Treat the templates on this page as ready-to-use copy for the business’s review-management workflow.

Questions businesses ask
Should a business respond to every Google review?
Responding consistently is a sensible reputation-management practice, especially when a review contains useful feedback or a problem. Google explicitly provides owners of verified Business Profiles with the ability to reply. If volume makes a response to every review impractical, prioritize substantive feedback and unresolved concerns.
How do I reply to a Google review?
Open the verified Google Business Profile, choose Read reviews, find the review, select Reply, write the response and submit it. If Google approves the reply, it is posted publicly as the business. The reviewer is notified and can update their review afterward.
Should I reply to a one-star review?
Usually, yes, if you can add something useful. Stay calm, acknowledge the concern, avoid a public argument, and move sensitive resolution into a private channel.
Can I edit a Google review response later?
Google Business Profile lets businesses edit or delete their own review responses. That is useful if circumstances change or a reply needs correction.
Does replying to reviews improve Google rankings?
Do not treat this as a guaranteed ranking tactic. Google encourages useful responses because they show customers that the business values feedback. Any claim that owner replies directly cause a specific ranking improvement should be treated cautiously unless Google states it explicitly.
What if the review is fake or violates policy?
Check the facts first. If you believe a review violates Google’s content policies, use Google’s reporting process. Keep any public response factual and avoid publishing private customer information.
