Legionella company website versus water compliance software: what belongs where?

Compare a water hygiene service website with specialist Legionella compliance tools for enquiries, monitoring, laboratory results and records.

Two different jobs, even when both involve the same client

A facilities director searching for a Legionella risk assessor may first need to compare qualifications, coverage, sectors served and how to request a quotation. After appointing a specialist, the same client may need to manage asset lists, water-system records, monitoring schedules, laboratory results and remedial actions. Those are different digital workflows.

A client-facing website should help visitors understand a business and submit a scoped enquiry. Water hygiene compliance software may manage the operational evidence once a contract exists. Neither should be described as a substitute for a competent professional risk assessment or any duties under applicable law.

What the public website should accomplish

Present services clearly

Separate risk assessment, sampling and laboratory analysis, routine monitoring, cleaning/disinfection and remedial work. The company should only list services it actually provides. Where testing is subcontracted, say who conducts the testing and which laboratory accreditations or scope apply, based on current documentation.

For UK buyers, explain how work aligns with applicable requirements under the Health and Safety Executive's Approved Code of Practice L8 and HSG274, but never promise that ordering a single service automatically completes an employer's statutory duties. Local jurisdiction matters for projects outside the UK.

Qualify the property

A first-contact request should capture contact, building sector, city/region, number of sites, whether the enquiry concerns an assessment or another service, approximate project urgency and whether the customer has existing documentation. An occupied hotel, an office portfolio and a healthcare building may need very different proposals. Use follow-up contact for diagrams and potentially sensitive facility records.

Explain the sales-to-delivery boundary

Publishing a Request an assessment quote button does not mean a professional assessment is booked or completed. The company must confirm scope, personnel, access, dates and any required safety arrangements. CRM or an internal lead log can organize the enquiry, but that alone does not create a legally sufficient risk-assessment record.

What the specialist operational system may handle

Depending on product and implementation, a water compliance platform might manage a water asset register, sample locations, routine inspections, readings, temperature monitoring, task schedules, exceptions, supporting photographs, laboratory reports, document revision history and corrective-action accountability. Some functions may remain on paper or in other approved systems; do not assume a particular vendor implements them.

For a complex multi-site customer, the difference is vital. The public website might capture 25 sites in three counties. The compliance system might hold a detailed register for hundreds of assets and a history of actions for each. The latter is not a sensible public enquiry form.

Use a clean handoff between systems

Avoid claiming that a website automatically integrates with laboratory databases, asset tracking, compliance portals or monitoring hardware. Integration exists only when it has been implemented, tested and documented.

  1. Receive a minimal contact enquiry through the public-facing channel.
  2. Have a qualified team member confirm jurisdiction, sector, desired service and site count.
  3. Issue the appropriate proposal or arrange a properly scoped site discussion.
  4. Once work is authorized, use the organization's approved secure channel and operational system for technical documents, risk records and laboratory outputs.
  5. Keep customer-facing marketing metrics separate from confidential compliance records; publish only aggregate, non-identifying examples with permission.

Example: a multi-site property manager

An illustrative procurement lead oversees twelve office buildings and wants to review an existing water hygiene program. The website helps her understand whether the company serves all locations, supports portfolio-level proposals and can arrange an assessment. The initial enquiry names the building types and counties, not site-by-site plant data. A human reviewer identifies the requested scope. If the company is appointed, the full asset schedules and historic records are exchanged through approved channels and managed in a system suitable for the job.

The website helped win a relevant client. It did not diagnose Legionella risk, generate sampling results or satisfy a monitoring obligation.

Common questions

Can a CRM replace water hygiene compliance records?

No. A CRM can help track leads and communications; a dedicated, properly administered record process is needed for operational work.

Should the site promise that Legionella testing makes a property safe?

No. Laboratory samples are one element in wider assessment and control, and results require contextual professional interpretation.

Can a small firm use a simple website and still serve large property customers?

Potentially, if its actual service qualifications, operational systems, capacity and geographic coverage meet contract requirements. Marketing software does not create those capabilities.
