Google Review Request Message Templates for Service Businesses

Copy practical Google review request templates for appointments and service businesses, with policy-safe wording, timing guidance, and review-link tips.

Overview

The best review request is not clever. It is short, easy to understand, and respectful of the customer’s choice.

For Google reviews, the safest default is to ask for an honest review after a genuine customer experience and give the customer one direct link. Do not ask for “five stars,” offer a reward for reviewing, or send only happy customers to Google.

Below are copy-ready templates for appointment businesses, local services, email, SMS, and conversational messaging.

Before you send any review request

Use this four-part structure:

Example:

Hi [First name], thanks for visiting [Business name] today. If you have a moment, we would appreciate an honest review of your experience on Google: [Review link]. Thank you for choosing us.

That is enough for most service businesses.

  1. Context: remind the customer who you are or what interaction just happened.
  2. Neutral ask: request an honest review or feedback.
  3. One action: give one direct Google review link.
  4. Low pressure: make it clear that reviewing is optional.

What not to write in a Google review request

Avoid language that pressures or manipulates the customer.

Do not ask for a specific rating

Avoid:

Please leave us a 5-star review.

Use:

We would appreciate an honest review of your experience.

Do not offer a reward for the review

Avoid:

Leave a review and get 10% off your next appointment.

Avoid gifts, discounts, free add-ons, competition entries, loyalty points, or other incentives tied to posting, changing, or removing a review.

Do not review-gate

Avoid a flow like:

Were you happy? If yes, review us on Google. If no, send us private feedback.

That selectively directs positive experiences toward public reviews. If you request reviews, use a neutral process that does not suppress negative feedback.

Do not tell the customer what to say

Avoid:

Please mention your stylist by name and say the service was excellent.

A review should reflect the customer’s own experience and words.

Do not pressure the customer while they are still on site

Give the customer space to choose whether to review. A direct link sent after the interaction is usually cleaner than standing over someone while they complete the review.

When should you ask for a review?

There is no universal perfect hour. Use the moment when the customer has enough experience to give meaningful feedback and the interaction is still easy to remember.

For many service businesses that means after the appointment or completed job. For longer professional engagements, it may make more sense after a milestone or completed project.

A useful timing checklist:

  • the real service has happened;
  • the customer knows the outcome well enough to comment;
  • there is no unresolved issue that makes the request feel tone-deaf;
  • the message will not interrupt an urgent part of the customer experience;
  • the request is part of a consistent process rather than selectively triggered only for praise.

Use one direct Google review link

A review request should not make the customer search for your business manually.

Google Business Profile provides a direct link and QR code that businesses can share. Put the same tested link into your approved templates so the customer has one obvious action.

Before using it broadly:

  1. Open the link yourself.
  2. Test it on desktop and mobile.
  3. Confirm it opens the correct business location.
  4. If you manage multiple locations, keep each link clearly labelled.
  5. Re-test after major profile, ownership, or location changes.

Build a simple review-request workflow

A small business does not need a complicated reputation system to start.

Manual workflow

  1. Complete the appointment or job.
  2. Mark the interaction complete in your normal system.
  3. Send the approved neutral template.
  4. Include the direct Google review link.
  5. If appropriate, send one polite reminder later.
  6. Stop there.

Team workflow

If several people can send requests, standardize the process:

Consistency protects both the customer experience and the business.

  • one approved template set;
  • one correct link per location;
  • one rule for who is eligible;
  • no rating targets for staff;
  • no incentives;
  • no “happy customers only” selection.

How OneStudio fits into the workflow

OneStudio can keep appointment and client information together, and it supports notification templates and appointment reminders where those modules are enabled. That can make it easier for a business to know when a service interaction happened and keep communication organized.

OneStudio should not be described as automatically sending Google review requests unless that feature is separately verified and released. For now, treat these templates as ready-to-use copy for a manual or externally managed review-request workflow.

Content QA and source notes (not for publication)

  • Google Business Profile Help currently says businesses can share a direct review link or QR code and explicitly prohibits incentives for reviews.
  • Google policy prohibits discouraging negative reviews and selectively soliciting positive reviews.
  • Keep OneStudio claim narrow: notification templates and appointment reminders are public; automated Google review-request campaigns are not verified.
  • Do not add invented response-rate claims or “best timing” percentages.

Questions businesses ask

Can a business ask customers for Google reviews?

Yes. Google provides tools for businesses to share a review link or QR code. The request should be for a genuine review and should not involve incentives or selective solicitation of only positive reviews.

Is it okay to ask for a five-star review?

A safer policy-compliant approach is to ask for an honest review without telling the customer which rating to choose.

Can I offer a discount for a Google review?

No. Google prohibits incentives such as payment, discounts, free goods, or services in exchange for posting, changing, or removing a review.

Should I send review requests only to happy customers?

No. Selectively sending public review requests only to customers expected to be positive is review gating and should be avoided.

Can I use SMS or WhatsApp to ask for a review?

You can share the review link through appropriate customer communication channels. Use channels the customer already expects, respect consent, opt-out, and messaging rules that apply to your business and location, and keep the request neutral.
